Participation - How to Attend and What to Expect On Event Portal "encaptiv." TIP #1: Accessing the Event For the BEST event experience, we recommend you use a computer (desktop or laptop), NOT a mobile device (tablet or smartphone) and use Chrome or Firefox as your browser. TIP #2: Update Your Attendee Profile To update your attendee profile, click on the GEAR ICON on the top left-hand corner of the screen (above the event logo), next to ‘Welcome[your name]’. You will see a profile box pop up. Fill in all your details and click on the ‘Update Profile’ button at the bottom of the screen. Some browsers may not auto update, if you don’t see your update please refresh your screen and check again. See image guide below. TP #3: For Presenters, Moderators and Admins Please log in into your session (please check your “Production Day Cue Sheet” for details) at least 20 - 30 minutes ahead of your session start time to check your login credentials are correct, check that your camera, audio, lighting and your environment are set up correctly. Make sure you have a clean background (NOTE - if you are using a virtual background, please make sure it does not have any words or branding on it). TIP #4: Streaming During the live event, if you have other people in your household, advise them to stay off streaming services or gaming sites as this may interfere with your WiFi connection. If everyone is off WiFi, try resetting your router. If you are still having trouble, please visit the live Help Desk in the Exhibition Hall support. Appearance, Commons Sense, Professionalism The event is being recorded for future replays so please dress your best business casual or better, and be well groomed. Please avoid wearing clothing that has a logo not related to the event and/or your business / brand. Speak and act with professionalism and courtesy. Think before you get on screen - how do you want others to perceive you and what you do? Respect the LIVE platform and the audience - come with a positive attitude, courtesy and politeness. Do not promote yourself during a LIVE session unless you are asked to do so UNLESS during your own Breakout Session or while you're at your expo booth (OR, if you have promotional content / script that has already been agreed upon during “Testing & Rehearsal” session). The Producer/Host will prompt and/or give you an opportunity to promote. This is a business broadcast / event, so please respect the platform and the audience. Please consider the audience is not just who is on for the “LIVE” sessions on the day of the broadcast / event. More audiences may come through the event and/or expo site post event. Therefore, you may wish to refrain from colorful commentary, obscenities and avoid on air confrontations with audience and host. Technology Guide Internet connection is best when you “hardwire” your computer (not on wi-fi). Check your internet connectivity speed by using Speedtest.net (to avoid fuzziness and drops in your connection while video streaming. The minimum UPLOAD speed should be at least 5 mbps. The average comfortable speed matched with your computer’s CPU capability would be a minimum of 10 mbps). Best tech device when presenting at virtual events is the computer (desktop or laptop). While mobile devices give us the ability to access the internet easily, as a Presenter, we highly recommend that you use a computer for more stability and it will enable you to multitask better. Plus less connectivity hiccups can lead to a better user and event experience. Be aware of other equipment, including camera field of vision and microphone field of sound. Leaf blowers, cell phones, sirens, children, pets or construction noise can seriously disrupt a conversation. Also, please tell colleagues, family members, etc. not to disturb you during the live broadcast. You may want to find a quiet conference room, office or spare bedroom (if you are at home) for the conversation and close the door and shades/curtains. Make sure that all cables are plugged in for the microphone and camera. Be certain that you understand how to mute and unmute your microphone both through settings on the computer as well as switches on the equipment itself. Cell phones should be on silent mode and should be placed at least 5-10 feet away from your microphone so as not to cause feedback from the cell frequency to the microphone. Good Lighting is critical for good quality video. Avoid lamps, windows or bright sources of light behind you. Best to have the source of light be in front of you. Test yourself on video first to check for glare, shadows, background distractions, etc. Copyright & Trademark - please do not use branded content from other third party events or anything other than your own brand while you're with us here at the expo. Background should also be considered carefully. Keep it simple, neat and reflect your message. If uncertain, a plain neutral background such as a blank wall works out great. Please take note that some of our event tech may not support virtual backgrounds - just in case you’re thinking of using one. IF you do, we highly recommend you test it during the “Testing & Rehearsal” session. Virtual Background - we highly recommend avoiding the use of virtual backgrounds UNLESS you have a professional studio set up with proper lighting (to avoid the border bleeds on screen). If you must use one, it should be free of branding (logos, qr codes) of any kind. Comments are closed.
